Register Internal Memo

Register Internal Memo Tamam
This service enables authorized employees to create and register memos exchanged between employees of internal university entities through the Tamam System. Memos can be created using an approved template or an existing file. Users can enter the memo information, add attachments and notes, and then register, send, refer, or prepare the memo for signature when required.

Service Steps
1.    Access the Tamam System.
2.    Log in using your university account or the National Single Sign-On service.
3.    Select New Correspondence from the main menu.
4.    Select New Internal Memo.
5.    Choose the memo creation method:
•    Using a Template.
•    With File.
6.    Select the approved template or upload the memo file.
7.    Enter the required metadata, including:
•    Internal sending entity.
•    Internal receiving entity.
•    Memo subject.
•    Document date.
•    Due date.
•    Privacy level.
•    Importance level.
•    Priority.
•    Document type, classification, and storage plan.
8.    Add text, notes, comments, and tags, if required.
9.    Add supporting attachments and documents.
10.    Link the memo to previously registered correspondence when a relationship exists.
11.    Add information about unarchived physical items, if applicable.
12.    Review the mandatory fields and verify the information.
13.    Select the appropriate action:
•    Save: Save the memo in the editing folder without generating a barcode.
•    Register: Register the memo and generate a barcode and serial number.
•    Refer: Forward the memo to an internal entity or employee.
•    Send: Send the memo to the selected internal entity.
14.    Select Prepare for Signature if the memo requires a signature:
•    Create one PDF copy.
•    Or create a separate PDF copy for each receiving entity.
15.    Use Restore Original Mail to retrieve the original version after preparing the memo for signature.
16.    Select Finish to archive the memo after completing its procedures.

•    The beneficiary must be an employee authorized to use the Tamam System.
•    An active university account.
•    Permission to create and register internal memos.
•    The internal sending and receiving entities.
•    The memo subject, document date, and due date.
•    Privacy, importance, and priority levels.
•    An approved template or memo file.
•    Supporting attachments and documents, if applicable.
•    Sending, referral, or signature preparation permissions according to the workflow.
•    An internet connection and a modern web browser.
