Based on the keenness of His Excellency the President of the University of Hafr Al-Batin to develop institutional performance and raise its efficiency in order to achieve the highest standards of quality and excellence, and based on the Documents and Archives System issued by Royal Decree No. (M/54) dated 10/23/1409 AH and its unified regulations, the Documents and Archives Center was established at the University of Hafr Al-Batin on (02/27/1442 AH) and No. (4356/057/42). The center is administratively linked to His Excellency the Undersecretary. The University pursuant to Resolution No. (4356/057/42) dated 02/27/1442 AH to be the authority concerned with organizing and managing documents in accordance with best practices in accordance with regulatory frameworks and approved national professional standards.

 

Center tasks:

Proper implementation of the systems and regulations for preserving documents in accordance with the standards of the National Center for Documents and Archives to achieve quality standards in preserving documents and archives in line with the vision and mission of the University of Hafr Al-Batin.

Working to find specialized cadres in the fields of preserving and organizing documents and archives to facilitate obtaining documents when needed to ensure the provision of information efficiently and quickly.

Coordination and integration with the National Center for Documents and Archives in order to achieve document service and safety in support of the work of the Permanent Documents Committee, destruction committees, and deportation committees.

Strengthening the role of the Documents and Archives Center by spreading awareness of the importance of its work through meetings, workshops, and periodic awareness messages, while emphasizing the importance of integrating efforts between various agencies and departments within the university in a way that contributes to raising the efficiency of the documents and archives system and improving its outputs in an organized and effective manner, to be a role model in document and archives management at the institutional and digital levels, and a pioneer in its field, keeping pace with the ranks of advanced universities.

Working to prepare places for storing documents and providing appropriate means for preserving and protecting documents in accordance with the plans and aspirations of the university leadership.

Gathering, arranging, safeguarding, and making university records accessible to users and researchers using the best possible technology methods.
Creating a thorough coding guide that is compatible with the National Center for Documents and Archives as well as a uniform classification guide for documents and archives.
Creating databases for all academic units' departments to store documents and records.
To ensure easy access to the document or information when needed, activate automatic documentation (electronic media).
As stated in points 1 and 2 of the Rules for Access to Documents and Archives, assist university personnel and researchers by meeting their requests for documents and information when necessary.
Setting up a location to store documents and supplying the requirements and tools for that.
Technical oversight and follow-up of preservation activities carried out by university departments, as well as the best possible use of the technology at hand to support the Documents and Archives Center.
Educating and preparing the center's staff to ensure their familiarity with all the sciences and experiences that it uses.
Coordination between the Center's management and the Standing Committee for Documents, the evaluation committees, the destruction committees, and the deportation committees in regard to the creation and execution of plans and the annual estimated budget f
